Set up Google company profile & enable agency access

Important: For legal reasons, the first steps with Google – i.e. the creation or takeover of the company entry – can only be carried out by the company owner themselves. After that, we as an agency can take over for you.

Here are the 4 steps, it’s really quick:

1. create a Google account if you do not already have one

To create a Google business profile, a Google account is Google account is mandatory. This does not have to be an @gmail.com address – a business address such as info@mein-unternehmen.de can also be used as a Google account.

2. check: Is your company already listed on Google?

Before you create a new company profile, please check whether Google already knows your company.

  • Open the normal Google search (not Google Maps) and enter the name of your company as precisely as possible, preferably with the street or district. Do not just enter the Internet address.

    Example: “TBA Berlin Eisenacher Straße” or “Webdesign TBA Berlin”, but not simply “tba-berlin.de”. The address leads directly to the website – not to the company entry.

  • If an info box with your company appears on the right (the so-called “Knowledge Panel”), you can accept the entry.

    If nothing is displayed, simply create a new profile.

    Then click on the appropriate tab at the bottom to see how to proceed.

Tip: For companies with the same name, Google only shows the entry that best matches the search query. So search as precisely as possible and do not create a new profile if one already exists. Duplicate entries damage your visibility in Google searches.

3. set up company entry

Whether your company is already listed on Google or not – select the appropriate option below to find out what to do step by step:

Take over existing Google company entry:

Have you found your entry in the info box (the so-called “Knowledge Panel”) on the right-hand side of the Google search page?

There you will find the link “Are you the owner of this company?”.

  1. Click on this link and follow the instructions for verification by e-mail, telephone or postcard, depending on the case.
  2. After successful confirmation, you can manage and edit your company profile.

Create a new Google business listing:

  1. Call up your Google company profile and click on “Get started now”.
  2. Log in with your business Google address (e.g. info@ihrefirma.de).
  3. Enter the exact name of your company.
  4. Enter the full address of your location.
  5. Select a suitable category, e.g. “Dentist”, “Architect” or “Agency”.
  6. Add your business phone number and – if available – your website.
  7. Confirm your company – usually by postcard with a verification code sent to your company address.

Note: If Google already knows your company, you may be referred to an existing entry. In this case, please do not create a new entry, but use the existing one.

Good to know: For the initial setup, it is sufficient to enter the basic details such as name, address and category.
Not all details need to be completed immediately – e.g. opening hours, services or photos can be added later.
As soon as you grant us access as an agency, we will take over the complete setup and optimization of the profile for you.

4. link Google account with agency access:

If you would like us to help you manage your profile, you can simply grant us access to your company profile:

  • Go to Google Business and sign in with your Google account.
    (Note: This option will only appear after Google has successfully verified your business).
    TIP: If you are successfully logged in, you will see 9 dots and a round image in the top right-hand corner of the browser window:

  • In the browser, go to the search page and search for your company again, as described above.
  • You will now not only see the company entry on the right, but also a menu for your company profile with some image icons at the top left above the search results.
  • Click on the 3 dots at the top and a submenu will pop up:
  • Click on the first menu item,“Business-Profile Settings” or “Settings”.
  • A pop-up window will open. Click on the first entry here, “People & Access“:
  • Then click on the link +Add.
  • Then enter the e-mail address for our Google account, which we will send you separately, and select“Manager” as the authorization:
  • Click on “Invite”. We will take care of everything else.
  • If you do not want Google to track your search activities, log out of your Google account again (click on the round icon next to the 9 dots in the top right-hand corner).

Here are a few answers for complex situations using typical examples:

Does the agency need access to your entire Google account?

No. To manage your Google business profile, it is sufficient to add us as a manager or owner to your business profile.

Please never pass on your access data for your entire Google account – this would not only be questionable under data protection law, but also unnecessary. The access rights in the company profile are completely sufficient for professional support.

Does your company have several locations?

If your company has several physical locations, each location should have its own Google business profile – with address, opening hours and local telephone number. This improves local visibility on Google (e.g. on Google Maps) and avoids confusion for customers.

These are then assigned to a shared Google account.

Individual doctors as their own Google profiles?

If several doctors work in a practice, each doctor who regularly practices locally can have their own Google business profile – in addition to the profile of the group practice.

  • The doctor must work regularly at this location.
  • There should be a dedicated website, a door sign or an entry on the practice website.
  • The ratings in the Google profile then only relate to the person in question.

Example: In addition to “Praxis Dr. Müller & Kollegen”, “Dr. Lisa Müller – Gynäkologin Hamburg” can have its own profile with its own visibility on Google.

This is particularly useful if individual doctors want to build up their own reputation – for example when changing practices or publishing later.

One doctor – several locations, but joint assessments?

Google generally allows a separate company profile per location. Reviews cannot be bundled or transferred between locations.

However, if a doctor only works regularly at one main location and only occasionally at other locations, a centrally managed profile can be dispensed with, e.g:

  • “Dr. Lisa Müller – Gynecologist Berlin” with reviews
  • other activities (e.g. in Hamburg) do not appear on Google Maps

Tip: It should be clear on the website and in appointment portals where the doctor specializes.
